At Etna Supply, our people are at the heart of everything we do. We're seeking an HR & Payroll Administrator that will support daily payroll operations by ensuring accurate timekeeping, employee data, and payroll processing as well as performing various HR administrative tasks. This position works closely with the HR and payroll team to ensure compliance, accuracy, and foster positive employee experience across all locations.
Key Responsibilities
Payroll Operations Support
- Meet or exceed the expectations of our customers by providing positive customer experience.
- Assists associates with HR-related questions and needs.
- Perform assigned tasks to ensure timely and accurate completion of bi-weekly, bonus, commission, and other payrolls.
- Reviews, verifies, and audits employee timecards for accuracy each pay period.
- Prepares payroll changes, updates employee data, and ensures entries align with payroll policies and deadlines.
- Works closely with the payroll team to resolve discrepancies, research issues, and support timely payroll completion.
- Maintains confidentiality and ensures compliance with payroll procedures and regulations.
- Assist with Time & Attendance administration, including but not limited to timecard maintenance, schedule changes, time off and tardy policy administration, and running of reports.
- Assist HR Director with 401K administration as assigned.
Human Resources Administration
- Assists with employee onboarding, including new‑hire paperwork, system setup, and orientation support.
- Administers performance review software, assigns evaluations, tracks completion, and provides support to employees and supervisors.
- Generates HR reports as needed in various systems (attendance, personnel changes, performance review progress, etc.).
- Follow, create, and maintain SOPs.
- Provide administrative support to the Human Resources team as assigned.
- Ensure timely and accurate data entry and filing of associate records.
- Maintain accurate, organized, and legally compliant associate personnel files, HRIS data, and documentation.
- Communicate HR policies, updates, reminders, and other information in a timely, clear and professional manner.
Team Support & Collaboration
- Build positive working relationships with associates, supervisors, HR team members, and all internal departments.
- Demonstrate strong collaboration and teamwork, working closely with co-workers to ensure timely, accurate, and compliant payroll processing and other duties.
- Fosters a respectful, communicative work environment that enhances efficiency, reliability, and mutual accountability.
- Provides backup support to HR team members by assisting with workload coverage during absences, peak periods, or special projects, ensuring continuity of service and consistent adherence to HR standards and timelines.
- Local travel to complete assigned duties.
What We're Looking For
Required
- High school diploma or equivalent
- Minimum of one year of HR, payroll, or administrative experience (or equivalent combination of education and experience)
- Experience providing excellent customer service in a professional office setting
- Previous administrative experience, including timecard processing
- Strong attention to detail with excellent data entry accuracy
- Demonstrated ability to multi-task and manage multiple priorities in a fast-paced environment
- Proficiency in Microsoft Office (especially Excel)
- Ability to maintain confidentiality, professionalism, and sound judgment
Preferred
- Two or more years of HR, payroll, or administrative experience
- Experience using ADP
- Understanding of basic payroll calculations and payroll laws
- Experience in a multi-location, multi-state environment
Additional Requirements
- Valid driver's license with acceptable driving record
- Regular, predictable attendance
- Ability to work safely and professionally
- Ability to sit, stand, walk, and occasionally lift up to 25 pounds
- Pass substance abuse screening
